Privacy Policy

1. What we collect

  • Your account: your email address and password (the password is held by our sign-in system, never by the app), your name and display name, and the rating you gave yourself at sign-up.
  • Optional profile details, only if you add them: your sport, skill level and weight. Weight is used only to estimate calories burned.
  • Date of birth: checked once at sign-up to confirm you are 18 or older, then discarded. We don't store it.
  • The waiver: which version you accepted, and when.
  • Games: the games you start or play, who played, the venue you typed, scores, corrections and voided rounds.
  • Results we work out: your rating and its history, your XP and level, and badges.
  • Reports: reports you send (with your account attached, so we can follow up) and reports about you.
  • Technical records: our servers log requests (time, address, the action) to keep the service running and secure.

2. What we don't collect

No advertising, no ad tracking, no analytics tools, no location tracking and no contacts upload. We don't sell or rent your information to anyone.

3. How it's used

Only to run LevelWolf: to sign you in, record your games and standings, work out ratings, XP and badges, let players find each other by email to start a game, review reports, and keep the service working and safe. We don't send marketing email; during the pilot LevelWolf sends no email at all.

4. Who can see what

  • Players in a game with you see your display name, the scores and the standings for that game.
  • Someone who types your exact email address when starting a game sees your display name, so they can add you.
  • A player you report is not told who reported them, or that a report was made.
  • The LevelWolf team can see what is needed to run the service and review reports.
  • Service providers who host LevelWolf for us (cloud servers) store the data on our behalf and may not use it for anything else. The LevelWolf website also loads fonts from Google Fonts, which sees your device’s internet address; the app carries its own fonts.
  • Anyone else only if the law requires it.

5. Where it's kept

On servers we rent in Oracle Cloud’s US East region (Ashburn, Virginia, USA), reached only over encrypted connections. On your phone, the app keeps your sign-in in the phone’s secure storage, a copy of recent data so it works with a weak signal, and any scores not yet sent until they are sent.

6. How long we keep it

Your account is kept until you delete it. When you delete it, your personal details, profile, stats and badges are removed straight away; games you played stay in other players' history as “Deleted player”, with no name. Reports are kept after either player leaves, so a pattern of problems isn't lost. Server logs are kept in small rotating files that are overwritten as new ones arrive, usually within a few weeks. Signing out clears your sign-in from the phone. The full list is in what gets deleted.

7. Your choices

You can see and change your profile in the app, and delete your account from your Profile. To ask for a copy of your data, or about anything here, email us. LevelWolf is not for anyone under 18; if you believe someone under 18 has an account, report them or tell us and we will delete it.
